IT Services details
The STFs have access to a standard configuration for the IT services and will be granted access rights according to the following information policy. Additional requirements will be discussed with the STF Leader and the ETSI IT services.
The rules defining the use of computer means and systems at ETSI are defined by the IT Charter (abstract from the ETSI Internal Regulations).
Documents storage and exchange areas
Docbox on ETSI Portal
All STFs will be granted read/write access to folders on the ETSI Document Repository (DOCBOX) (http://portal.etsi.org/docbox/STF/) shared between other the STF experts, the Technical Officer, the Chairman of the reference TB or WG and the STF Support Team.
This folder is accessible from the ETSI internal Network as well as from the Internet. The DOCBOX area is meant to exchange STF-related documents with the TB and to have shared access to the STF documentation in-between sessions.
All the members of an STF have the same rights and permissions on the corresponding DOCBOX STF folder i.e. Read/Write/Delete. The members of an STF can grant similar rights and permissions to other users (e.g. members of the Steering Committee), via the Access Rights Maintenance (ARM) application.
Each STF folder contains a “Public” area, accessible in read-only mode to all Etsi-On-Line users and an “STFworkarea” which access is restricted to the STF experts and identified profiles described above.
The “Public” area can be used to share information with the TB delegates and other ETSI Members and/or experts from other STFs. The “STFworkarea” is meant to be used for internal confidential STF drafts.
STF presentation page on the ETSI Portal
A presentation page for the STF will be created by the STF Support on the ETSI Portal. This page is accessible from the Web and can be used as a “hook” to advertise the STF results and share documents for discussion inside and outside ETSI (e.g. by inserting a hyperlink from other Web pages and/or e-mail messages). See examples on the ETSI Portal.
STFLink (email@example.com) will create an initial page for the STF and can provide help to improve and publish this page, based upon the information provided by the Leader.
Access rights and duration of information storage
STF experts will be granted access rights for the duration of their contract to the ETSI Portal, equivalent to those of the ETSI Members and specific to the STF, for the duration of their contract.
Access rights will be granted after reception by ETSI of the signed contract.
Immediately after the end of the contract, access rights related to the STF (DOCBOX) will be removed and the ETSI mailbox will be closed and archived unless the STF Expert is under contract with ETSI for another STF. Access rights on the Portal will revert to those relevant to the ETSI membership status of the experts' Company. Read-only access, to the “Public” folder of the STF DOCBOX folder, will be kept according to the ETSI membership status of the experts’ Company.
The information stored on DOCBOX, will be archived by ETSI for a period of three years after the conclusion of the STF. During this period, experts may request recovering information to the STF Support Team. After this period, all documentation will be deleted.
Actions to take in-between sessions and after the conclusion of the STF
It is recommended that, before leaving a session at ETSI premises, the STF experts copy the relevant not confidential documentation onto their DOCBOX "Public" folder, so that it can be recovered from their home office.
Access to ETSI internal network will be disabled by an automatic procedure at the end of the contract, without further notice.
It is recommended that, before the STF closure or contract expiration, the STF Leader forwards the final deliverables and Reports to the reference TB and to the ETSI Secretariat and makes a copy on the DOCBOX "Public" folder.
Before terminating a work session in their STF, each expert is invited to set a rule on their ETSI mailbox to forward the incoming mails to their personal mailbox and submit the due timesheets generated by the TAM application.
